Event Proposals

Have you got an idea for your Activity Group to host an event, this could be an venue in our venue such as a club night or a fundraising event such as a sports tournament? In order to host this event you need to complete an event proposal form!

 

You must complete event proposal forms at least one month in advance of the event, so you have plenty of time to plan and advertise the event! This must be emailed to SUActivities@winchester.ac.uk.


You need to complete an event proposal form for fundraising events, as well as any events you plan to hold in our venue. These forms need to be completed in addition to a risk assessment. If you would like to host an event with a guest speaker, check out our freedom of speech and guest speaker page first. Below we have examples of a venue event proposal, and built into the form is an example of a tournament event proposal. The Steps to a proposal:

  • Complete the form with relevant committee members
  • Email the form to SUActivities@winchester.ac.uk
  • The Activities Team will review the form, if relevant we will consult with the Commercial Team and Venue Manager
  • If applicable we will call you in for a short 15-20 minute to chat through the proposal allowing you to ask questions and for us to do the same. Depending on the event we may do this feedback via email!
  • Once we are happy with the proposal and have the appropriate risk assessments in place we can start actioning the plan for the event, e.g. venue booking, adding the event to the website, etc.
  • For events in the venue it is very likely you will have a few follow up meetings to ensure everything is going to plan
  • Then your event is ready to go ahead!
